Description:General Description:

Under the executive direction, the purpose of the position is to provide complex and highly specialized administrative support to the Director of Clinical Pharmacy and Clinical Team. The employee in this position may be called upon to provide administrative support to the Chief Clinical Officer and to the Population Health Management Department as needed. The employee in this position functions at expert level and is accountable for the accuracy of both routine and non-routine administrative support duties.

• Responsibilities:(Include, but are not limited to):
• Attends meetings and conference calls to document subject matter concerning the company and the department
• Composes correspondence at the direction of the director.
• Provide overall administrative support to the clinical team which includes but is not limited to the following: preparing documents (letters, memos, reports, presentations, bulletins, newsletters, guidelines, monographs, etc.), reporting (e.g., formatting, quality assurance, proofing), screening of vendor meeting requests, and filing.
• Facilitate management meetings by coordinating arrangements and preparing agenda including coordination of video/conference calls. Meeting types include but are not limited to the following: CE programs, webinars, P&T committee, residency program, pharmaceutical company, and other vendors.
• Provide administrative and organizational support of residency and pharmacy student programs, including interview coordination, committee scheduling, student scheduling, meeting coordination, and aggregation of evaluations.
• Manage clinical department task and project calendars/lists
• Interface with all levels of employees
• Handles a wide variety of complex situations and conflicts in the course of daily work
• Provide back up support for the coordination of facility events and activities if needed
• Create and manage databases and spreadsheets to support pharmacy initiatives
• Perform internal department audits as assigned
• Perform special projects as assigned
• Provide support to the clinical and other departments with proofing and editing of documents including but not limited to client reporting and patient educational materials. The ability to translate materials into Spanish a plus.
• Other duties as assigned by Management
Qualifications:Knowledge and Skills:

• Excellent Communication skills both verbal, written, and phone demeanor
• Ability to multi-task and prioritize daily tasks and projects
• Excellent computer skills; intermediate to advanced proficiency in MS Office products (windows, outlook, power point, word, and excel). Experience with MS Access a plus. Experience with websites uploads a plus.
• Strong organizational skills, with high attention to detail
• Ability to maintain confidential information.

• Ability to work independently and with minimal supervision
• Quick to understand business concepts
• Ability to excel in a fast-paced, dynamic environment
• Ability to interface effectively with other people throughout various levels of the organization

Physical Requirements and Working Conditions:

• Normal office work environment.
• Ability to climb, reach, bend, stoop, kneel, sit and stand for long periods of time; walk; lift up to 20

Educational and Other Requirements:

• Minimum 3-5 years experience supporting an executive level role.
• College degree preferred
• Passing background check
